Privacy Policy
Penny answers your phone and website chat, so we handle conversation data on your behalf. This policy explains what we collect, why, and the choices you have.

Who we are
Penny is operated by Penny Labs LLC ("Penny", "we", "us"). When you use Penny as a business, you are the controller of your customers' information and we are your processor — we handle that data only to run the service for you. For the account you hold with us (your email, billing details, settings), we are the controller. Questions about this policy go to support@pennyassistant.com.
Information we collect
- Account information — your name, business name, email, phone number, and the settings you configure.
- Conversation content — call audio while a call is in progress, voicemail recordings until they are transcribed, call and chat transcripts, and the details Penny captures (names and contact details, the reason for a conversation, bookings, and messages). When a caller may be describing an emergency, the words they used are kept with a record of how Penny responded so that response can be checked.
- Billing information — your plan and usage. Card details are entered directly with our payment processor; we never see or store full card numbers.
- Usage and device data — logs, IP address, and basic analytics that keep the service working and secure.
How we use it
We use this information to answer your calls and website chats, route calls, book appointments, capture leads, notify you, bill you accurately, provide support, and keep the service secure and reliable. We do not sell your data, and we do not use the content of your calls to train third-party advertising profiles.
How calls are handled
Penny connects your calls through our telephony provider and uses speech and language models to understand callers and respond in real time. We keep a transcript of each call and chat and the details Penny takes down; we don't keep call audio after the call. If a caller leaves a voicemail, we keep its transcript with that conversation and delete the recording at our telephony provider once it is transcribed, or after 3 days if it can't be. To check how Penny handles possible emergencies, people on our team may read the part of a conversation where one came up. You can delete any conversation from your dashboard, and on Business you can set how long Penny keeps conversations. See our Security page for how this data is protected in transit and at rest. If a business chooses it, Penny emails a one-time code to the address a customer gave when booking, only when someone asks to change that appointment. The code works for 10 minutes.
Who we share it with
We share data only with the service providers that make Penny work: telephony, cloud hosting, email delivery, speech and language models, search, bot protection for website chat, product analytics, a tag manager on our website and dashboard, and payment processing, each under contract to protect it. The integrations you connect (calendars, Jobber, Housecall Pro, Zapier, and webhooks) receive conversation details on your instruction, under your own account with that tool or at the address you set. The current list is in our Data Processing Addendum. We may also disclose information if the law requires it, or to protect the rights and safety of our users.
Retention
We keep conversations and account data while your account is active, unless you delete them sooner or set a shorter period on Business. When an account is closed, we delete or anonymize its data within a reasonable period, except what we must keep for legal, tax, or security reasons. Deleted data can remain in encrypted backups for up to 35 days.
Your choices and rights
Analytics cookies on this site can be switched off at any time with Do Not Sell or Share My Personal Information in the footer; the choice is kept in your browser and stops product analytics there. Google Tag Manager still loads on our pages. You can see and delete your conversations in your dashboard and correct your account details in Settings. To get a copy of your data, or to close your account and delete its data, email support@pennyassistant.com; a person on our team handles it with you. Depending on where you live, you may have additional rights under laws such as the GDPR or CCPA — including the right to object to or restrict certain processing. We honor those requests and never charge you for exercising them. Penny is for businesses and isn't directed at children.
International transfers
Penny is operated from the United States, and the providers we use may process data in the US and other countries. Where required, we rely on appropriate safeguards (such as the Standard Contractual Clauses) for those transfers.
Changes to this policy
We'll update this page when our practices change and revise the date above. If a change is significant, we'll let you know in the product or by email. Reach us any time at support@pennyassistant.com.
