AI receptionist for real estate teams

Sign callers can book an approved showing through Penny’s real estate answering service.

A buyer is parked at your sign and wants to see the house. Penny reads the listing facts you approved, asks about timing and representation, and offers showing-request openings on your calendar. Access and any required paperwork stay with the agent to confirm.

A fact about the setup

Penny checks the listing status and the caller’s agent details before offering a showing request from your calendar’s open times.

The demo line

Build a listing test for your own account after hearing Penny answer

The live demo uses Summit Heating, a fictional HVAC business. Listen to her intake here; test your own trade’s rules in your Penny account.

(630) 324-4620
  • Say you are parked outside one of her listings and ask for the lockbox code. Listen to what she offers instead.
  • Ask whether the house on the sign is still available and hear how she reads a contingent status.
  • Tell her you are thinking about selling and want to know what your house is worth. She books the listing appointment and never names a number.
  • Say your closing is Friday and you just got an email with new wiring instructions. She stops booking, gives the safety line, and flags it urgent for you.
Who is calling

The sign caller and the lender on a live deal need different questions

Inbound call
Your “Who is calling?” question
  1. Buyer on a sign call

The caller’s name and callback number come first. Then the listing by address or MLS number, the status and the facts you have approved, whether they already have an agent, and pre-qualified or pre-approved. She books the showing on your connected calendar, notes the listing agent and the lead source.

  2. Seller asking what the house is worth

She never names a number. She captures the address, the timeline, who else is deciding, and any target price the caller volunteers, then books the listing appointment for the CMA. An FSBO or an expired-listing owner is flagged as a warm seller lead.

  3. Renter, or a tenant if you manage rentals

For a rental listing she reads the approved facts, gives the application instructions you approved, and books the tour; she says nothing about screening or whether an application will pass. For a current tenant she records the property, unit, and request, then follows your maintenance and on-call rules.

  4. Client in an active transaction

Anything with a deadline in it is treated as time-critical. A notice to perform, an expiring contingency, a highest-and-best cutoff, or a closing-day problem is flagged urgent and emailed to you, and transferred to whoever is on call if you turn that on for the rule. A changed wiring instruction gets the safety line first.

  5. Referral from a past client or another agent

She captures who sent them, marks the lead as a referral, notes the agent named, and books the consultation on your connected calendar.

  6. Lender, inspector, title company, or cooperating agent

On a live deal she takes the message with the property and who is calling, for the agent on the deal. A solicitation gets a message in the log and nothing else. An open-house question gets the date and time and no booking.

Add a “Who is calling?” question to your intake, and the answer goes on the record so the right person calls back.

  1. Penny
Bramblegate Realty, this is Penny. How can I help?
  2. Perpetua (caller)
Hi, I’m parked in front of 1128 Alder Court. Your sign’s out front. Is it still for sale, and could I grab the lockbox code and walk through?
  3. Penny
I can’t give out a lockbox code. Only a licensed agent opens those, and every entry is logged. What I can do is get you inside with an agent. First, can I get your name and the best number to reach you?
  4. Perpetua (caller)
Perpetua Vandersloot. This is my cell.
  5. Penny
Thanks, Perpetua. 1128 Alder Court is listed as contingent, so it is under contract with a condition still open. The seller is still allowing showings, and I can book one if you would like to be in a backup position.

A fact from the knowledge pack, used on the call.

  6. Perpetua (caller)
Contingent, huh. I’d still like to see it. We’ve lost two houses this spring.
  7. Penny
Are you working with another agent right now, or would this be your first showing with us?
  8. Perpetua (caller)
No agent. We’ve been using Zillow and calling the signs.
  9. Penny
Got it. And do you have a pre-approval from a lender, or are you still at the pre-qualification stage?
  10. Perpetua (caller)
Pre-approved through our credit union, good through the end of next month.
  11. Penny
That helps the agent move fast. Marguerite Ashdown is the listing agent on Alder Court. I have 4:30 this afternoon or 10 tomorrow morning open for a showing. Which works for you?
  12. Perpetua (caller)
    Tomorrow at ten.
  13. Penny
You are booked for tomorrow, Sunday, at 10 a.m. at 1128 Alder Court, with Marguerite noted. I’ve flagged seller access and any paperwork for her to confirm with you. This reserves the time on our calendar; the showing still needs her confirmation.
  14. Perpetua (caller)
    Perfect. Thank you.

Approved listing facts answer the buyer parked at your sign

From the real estate knowledge pack

  • Caller types and lead triage: buyers, sellers including FSBO and expired-listing owners, renters, referrals, current clients, vendors, and solicitations.
  • Identifying a listing by address or MLS number, and which fields on the record she may read back: status, list price, beds and baths, square footage, HOA dues with the frequency, recorded taxes, days on market.
  • The status lifecycle, from pre-market through active, contingent, pending, and closed, and what each one means for a showing or a backup offer.
  • Lead qualification: timeline, pre-qualification versus pre-approval, budget, criteria, and whether the caller is already working with an agent.
  • Transaction terms she recognizes and routes without interpreting: offers, earnest money, escrow, contingencies, inspection, appraisal, title, and closing.
  • Showings, lockbox and appointment-required access, buyer-agreement questions referred to the agent, listing appointments built around the CMA, open houses and broker opens.
  • Time-critical triage: expiring contingencies, notices to perform, highest-and-best deadlines, closing-day funding problems, and the wire-fraud pattern.
  • The office roster: agent versus broker, listing agent versus buyer’s agent, the transaction coordinator, floor duty, and after-hours routing.
  • Fair housing: the protected classes, steering, and why questions about schools, safety, and neighbors go to a licensed agent.
  • If the brokerage manages rentals: maintenance triage, habitability emergencies with 911 first, rental applications, and the rental-scam pattern.

What Penny does
Looks up the listing, tells the visitor it is available and what the approved record says about rent, beds, and pets, sends the application link, and asks for a name, a number, and a time for the tour. She books the tour on your calendar and says nothing about screening or whether the application will pass.
Write a message
The chat follows the same rules as the phone line, so a visitor gets the answer a caller would.
Your numbers

Use your commission assumptions to value a missed buyer inquiry

Change the three numbers to yours. The default job value comes from a named source, dated.

Default job value $10,383, from Clever Real Estate — average buyer’s-agent commission on a median-priced U.S. home (as of 2026-06-01). Change it to yours.

Potential job revenue

If you miss 4 calls a week and book 30% of them at $10,383 a job, those jobs would represent about

$53,950/month

This is estimated gross revenue, not measured lost revenue or profit. Some missed callers may still book with you. Change the assumptions to match your call records.

Penny starts at $29 a month, billed annually. At this job value, one booked job brings in enough revenue for the annual Starter subscription. Allow for extra usage charges and subtract job costs when estimating profit.
The result is your own arithmetic from the three numbers above.
